Strideo: connecting sales,
jobs and accounting in Odoo

How we replaced Caflou, Pipedrive, Pohoda and Shopify with a single shared system for a company focused on custom merch.

About Strideo

Strideo supplies custom merch and gift boxes for agencies and brands. Every order has a different brief — its own print, delivery date and end customer. Each job also includes preparing the artwork, approving previews and handing the print data over to production.

Alongside the custom business, the company runs an e-shop. Both sales channels need to work with the same products and stock availability, even though the course of individual orders may differ.

Starting point

Before implementing Odoo, Strideo used four separate applications. Caflou handled projects and invoicing, Pipedrive sales opportunities, Pohoda accounting and Shopify the e-shop.

Each system held its own data about customers and jobs. Information was retyped between them and accounting was separate from day-to-day operations. The e-shop also kept its own records of products, stock and orders. Artwork briefs, previews and print data had to be hunted down in emails and on shared drives.

The goal was to connect the individual steps of a job and let sales, project management, inventory and accounting work on shared data.

What we deployed in Odoo

The sales process starts in CRM. An opportunity turns into a quote and, once confirmed, into an order. The project, purchasing, inventory and invoicing follow from it. Customer details and the ordered products therefore don't need to be entered again in another application.

  • CRM and sales: opportunities, quotes and orders in one shared sales process.
  • Projects: managing individual jobs, tasks based on the ordered product and costs assigned to the project.
  • Inventory and e-shop: shared products, price lists and stock for online and direct sales.
  • Accounting: migration from Pohoda and Czech localization for VAT, statements and other accounting agendas.

A project is created when the order is confirmed

In custom merch some steps repeat, but their exact form depends on the product. So we added a customization to Odoo that automatically creates a project when an order is confirmed and prepares tasks from the template of the respective product.

At the same time, a folder structure is created on Google Drive for the brief, previews for approval and print data. The link to the folders is available right from the project, so the materials stay tied to the specific job.

Purchasing from the supplier and direct delivery to the end customer are reflected in the project analytics. This makes it possible to track the costs and revenue of each job.

Accounting migration and received invoices

We migrated a complete accounting year from Pohoda, including open items and multiple currencies. The Czech localization by Synwase covers VAT, the control statement and EC sales list, advance payment documents and financial statements.

The solution also includes OCR extraction of received invoices. Data from the supplier's PDF is prepared for review and posting, instead of entering each line by hand.

How Strideo works today

The whole operation runs in one database. The deal, order, project, stock moves and invoices all connect in Odoo. The e-shop sells from the same warehouse and at the same prices as the sales team.

The company no longer has to maintain four separate sets of records. Each job has its materials, task status and financial data at hand. Accounting is part of the same system and follows directly from operations.

It also did away with the licences and subscriptions of four separate applications — Caflou, Pipedrive, Pohoda and Shopify — replaced by a single Odoo licence.
